CHALLENGE
Low-income residents in California are served by an independent local public agency that provides them with health coverage. As the state’s population continues to grow, this agency is also growing.
The agency’s current Medicaid kitting and fulfillment vendor wasn’t able to keep up with the increasing volume. In addition, the client’s manual data processing was straining internal team resources. They were having difficulty meeting California’s regulatory deadlines and reporting requirements.
This drove the need for a West Coast partner that could serve these growing demands that included speeding up their time-to-market, driving scalable cost efficiencies, and providing the very best in member satisfaction.
SOLUTION
RRD responded by leveraging the full depth and breadth of the Healthcare Solutions platform to create a workflow encompassing multiple facilities and skill sets. The four key steps to this solution were:
- Streamline the client’s manual input data procedure. By creating an automated system with a secure FTP connection, RRD was able to parse data to the appropriate facility. One facility serviced ID card printing and another serviced kit fulfillment.
- Optimize kit configurations through a combination of both traditional offset and digital print. This solution drove down printing costs and created other savings measures through more efficient use of paper stock and materials.
- Leverage an extensive relationship with a nationwide logistics provider. RRD was able to commingle kits, slash postage spend-per-piece by 50% and maintain required delivery standards.
- Expand RRD Healthcare Solutions’ accounting capabilities. This provided detailed tracking of all releases and verified counts for the client in the event of an audit.
RESULTS
The program created a 50% postage savings in the first year, totaling $1,500,000 for 750,000 kits.
By 2050, demographic experts predict California’s population will reach 60 million people. RRD built a solution that can grow with those projections. The client also now uses RRD’s extensive translation services. RRD supports state requirements for producing materials in other languages, alternate formats like large print, and 508 accessibility compliant versions.
