RRD’s Business Communication Solutions leverages document conversion, redesign, and more to boost efficiencies, cut costs
CHALLENGE
A national life insurance and investments company aimed to phase out their internal print shop operation, hoping to gain efficiencies as well as reduce expenses. Their implementation deadline was rapidly approaching due to end-of-lease dates for various in-house printing equipment.
The company sought to make the transition from a print-centric operation to a digital one. They wanted to cut administrative costs, accelerate claims processing, and enhance customer satisfaction, among other measures. In addition, they wished to consolidate vendors where possible.
SOLUTION
RRD’s extensive experience with large organizations and array of technologies reassured the company that the transition would be securely managed. Plus, RRD demonstrated that policyholder data would be confidently administered via established compliance and security systems.
RRD’s Business Communication Solutions team initially converted all member files — policies, statements, benefit information — into a single, efficient digital format. This conversion provided for automated print production, plus a predictable visual output and advanced mailing workflows.
An additional undertaking specifically targeted the company’s members: RRD developed and implemented a mobile wallet application. Produced in conjunction with a third party, the wallet replaces printed and mailed ID cards, provides links to policy information, and more. Approximately 10%-15% of the company’s members have already transitioned to using the mobile wallet.
To advance the company’s objectives, RRD also:
- Enabled digital proxy mailing: Members can now utilize a mobile app to execute proxy voting, via portal or on phone via app (replacing paper)
- Improved branding across all platforms: Ensuring the company’s visual identity and messaging were identical across website, documents, emails, and social media
- Executed redesigns on policy documents: Substantially reducing page counts by nearly 40%, providing significant cost savings
- Secured postage discounts: Enrolling the company in various USPS promotions and add-ons reduced postage costs
RESULTS
RRD helped the company phase out their internal print shop as they sought to gain efficiencies, cut costs, and move to digital. Specific results included:
- Met the company’s implementation dates, which were linked to end-of-life equipment leases
- Converted policies, statements, benefit information, and more into digital files — all in a single, efficient format
- Transitioned approximately 10%-15% of member ID cards to a new mobile wallet
- Reduced page counts on policy documents by nearly 40%
- RRD leveraged a variety of postal promotions that saved the company more than $115,000 in postage costs
- Improved company branding across all platforms
