Transition to Digital Document Delivery Enhances Member Experience | Financial Services
RRD’s Business Communication Solutions (BCS) team helps leading financial company shift from print to email distribution, leading to cost reductions
A large financial and insurance company historically sent eligibility guides and 401K enrollment kits to clients through traditional print channels. However, due to an evolving digital landscape and a desire to streamline processes, the company sought to transition from physical printed documents to digital versions. Additionally, they sought a means for internal client teams to review these digital documents prior to their distribution to plan participants and clients.
As the company’s commercial print provider for over a decade, RRD was entrusted with the digital transition. First, RRD’s BCS team worked with the company’s internal IT teams to modify client data files and incorporate client email addresses for accurate delivery.
RRD then deployed a digital document system, which included email delivery notifications for all clients. The new system first routes the digital document to the appropriate client team for review, and then delivers the document to its intended recipient via email upon approval. A critical system component is the ability to track and report email delivery, ensuring seamless verification of electronic dispatch.
RRD’s expertise helped the company successfully transition to a digital communication system, resulting in:
- Efficient and verifiable document email delivery to plan participants
- Cost reduction due to the elimination of print services
- Enhanced client experience and satisfaction
- Complete digital transformation for all eligibility guides and 401K enrollment kits
