Workflow Analysis Streamlines Documents, Saves $2.7M | Healthcare

Workflow analysis solution streamlines hospital system’s documents, saves $2.7M in print costs 

CHALLENGE

A hospital system in the western U.S. used 28,000 forms in its more than 20 facilities. In addition to their very large documents universe, different documents were frequently used by multiple locations for the same function. Problems with home-grown documents, employees spending too much time on paperwork, and an inefficient revisioning process created additional concerns.

SOLUTION

RRD proposed its Document Pathways solution to analyze and streamline the hospital systems documents environment. Whether within a facility or throughout a healthcare network, Document Pathways is a document audit and standardization methodology designed to consolidate, eliminate and standardize documents and information-gathering.

In addition to implementing this solution, RRD also supported the customer with a dedicated on-site liaison for ongoing, daily support. This liaison — an expert in health care printed materials — helps analyze and design documents, and frequently interacts with the customer on print related subjects.

RESULTS

$2.7 million reduction in print related costs

9,000 fewer documents through audit and standardization

In short, Document Pathways improved the functionality of the documents this customer uses. The brand is now consistently portrayed across all facilities and fully compliant with all regulatory requirements. Three major achievements have come out of this client engagement:

  • Standardized print materials, which dramatically reduced the amount of items and significantly lowered the overall print spend 
  • Improved document ordering and inventory process, significantly reducing obsolescence and increasing inventory turns 
  • On-site support from an expert in both documents and healthcare to help improve compliance and accuracy of medical records 

Through this RRD solution, the hospital system was able to reduce their documents universe by 9,000 and save approximately $2.7 million in print related costs. The accuracy of medical records also improved substantially.

Looking ahead, the customer is preparing to move to an electronic environment that will transition them from paper-based to a combination of paper and computer-based documents. RRD will play a key role in this initiative.
